Everyone uses prompts on their own and saves a few minutes, but the work still goes through the same emails, documents and meetings. Business results do not move because nobody redesigned the process.
Who it is for
Owners and team leads of 3 to 50 people who already pay for AI licenses or see their people using it, and want to know where to redesign work to recover real capacity.
An adoption opportunity is not "use AI for X". It is work that repeats, crosses two or more systems (email, documents, CRM, meetings) and today depends on someone copying and pasting. This map helps you find those opportunities in one hour with your team.
The protocol, step by step
-
List one week of repeated work
Ask each person to write down, during one week, the tasks they did more than twice. One line per task, no filtering.
Copy and pasteTask · times per week · minutes each time · where the information comes from (email, document, CRM, meeting, WhatsApp) · where the result goes
-
Mark where systems cross
Underline the tasks where someone takes data from one place and writes it into another. Those are your best candidates: there the person is acting as a manual integration.
-
Score each candidate
Use a simple 1 to 3 scale on four criteria. Add up and sort from highest to lowest.
Copy and pasteFrequency (1 = monthly, 3 = daily) Total weekly time (1 = little, 3 = hours) Clear rules (1 = judgment-based, 3 = always the same) Risk if it goes wrong (1 = high, 3 = low and reversible)
-
Redesign the first one with four pieces
Take the highest-scoring one and describe it with context, decision, action and check. If you cannot fill in all four, it is not ready for AI yet.
Copy and pasteContext: what information it needs and where it comes from. Decision: what must be decided and by which rule. Action: what gets created or sent and in which system. Check: how we know it went right and who reviews it.
-
Define who answers when the system does not know
Write the name of the person who gets the odd cases and how fast they reply. Without this, people go back to the old process the first time something fails.
-
Measure before and after
Write down today how long the task takes and how many errors or rework it has. Repeat the measurement after two weeks with the new process. If it does not improve, adjust or drop it; do not keep it for the sake of trend.
-
Ask AI to help organize the map
Once you have the list from step 1, paste it with this prompt to get a first draft of the map. Review it with your team: they know the exceptions.
Copy and pasteHere are my team's repeated tasks in [TYPE OF BUSINESS]: [PASTE LIST]. Group them by process, mark which cross two or more systems, score each 1 to 3 on frequency, time, clear rules and risk, and return a sorted table with the top 5 opportunities and, for the first one, context, decision, action and check.
Common mistakes
- Buying more licenses thinking that is adoption. The tool does not change the process on its own.
- Starting with the flashiest task instead of the most repeated one. The daily task is the one that frees capacity.
- Not naming an owner for exceptions. It is the most common reason a new process gets abandoned.
- Measuring only "it feels faster". Without a before and after measurement you do not know if you gained anything.
Who this is NOT for
It is not a company-wide digital transformation plan and does not replace a conversation with your team. If nobody in your business uses AI yet, start with the general NeuralEdge map first.
Want it applied to your business?
If you would rather not build it alone, book 30 minutes with me and we will review it with your real case. If you still do not know where to start, the map tells you what to automate first in 5 questions.
